UVA Recreation Reservation & Event Management manages the scheduling of events and activities with the Aquatic Fitness Center, Memorial Gymnasium, North Ground Recreation Center, Slaughter Recreation Center, and all UVA Rec Outdoor Fields & Courts.
All reservation requests for UVA Recreation spaces can be submitted online though 25Live (Netbadge) for review and consideration. Reservation requests for UVA Recreation venues submitted online are restricted to current UVA Students and UVA Recreation Members behind your NetBadge Account. Please contact our Reservation Office recreservations@virginia.edu : 434-924-4441 if you are having issues with your online submittal or have any additional questions.
All participants shall adhere to published UVA Recreation policies, regulations, and guidelines.
All requests must be submitted at least 3 days and not more than 30 days in advance for review outside of priority reservation periods. All unreserved UVA Recreation spaces are available on a drop-in basis by UVA students and recreational members. Please contact our Reservation Office (recreservations@virginia.edu) for requests that require more than 30 days for planning.
Once a request has been received and reviewed, and e-mail communication will be sent to the requester with either approval, denial, or request for additional information.
Most student and member reservations are free; however, there may be fees and/or permits required based on participants and event function.
To cancel a reservation once approved, the event requestor must email recreservations@virginia.edu. Reservations cancelled less than 72-hours in advance may be subject to fees or loss of scheduling privileges for individuals and/or organizations.

FALL 2024 RESERVATIONS
All reservation requests for Fall 2024 are currently accepted on 25Live (Netbadge) for review and consideration.
SPRING 2025 RESERVATIONS
Club Sports priority reservation requests for Spring 2025 can be submitted online on 25Live (Netbadge) for review and consideration on January 7-8, 2025 @ 12pm. 10-Hour/Week max reservation requests permitted during priority period.
CIO priority reservation requests for Spring 2025 can be submitted online on 25Live (Netbadge) for review and consideration beginning on January 9-10, 2025 @ 12pm. 10-Hour/Week max reservation requests permitted during priority period.
All other reservation requests for Spring 2025 will be accepted online on 25Live (Netbadge) for review and consideration beginning on January 13, 2025 @ 12pm.
SUMMER 2025 RESERVATIONS
All other reservation requests for Summer 2025 will be accepted online on 25Live (Netbadge) for review and consideration beginning in May 2025.

Tent Permit
Tent Permitting Application must be completed for any event with tent. Form must be approved by Office of Environmental Health & Safety returned to University of Virginia Department of Recreation following approval.

Stage Permitting Application must be completed for any event with a stage and/or risers.

Inflatable / Amusement Permit
Inflatable & Amusement Device Permitting Application (HECO-17a-TMP) must be completed for any event with an inflatables and/or amusement devices.
Inflatable / Amusement permit requests should be submitted to buildingpermitrequest@virginia.edu at the Office of the University Building Official (OUBO). Approved form must be submitted to University of Virginia Department of Recreation following approval.

Alcohol Permit
Alcohol is prohibited at all UVA Recreation indoor and outdoor venues without advance approval by UVA Recreation and Student Affairs.
Requester is responsible for obtaining ABC license and permit from UVA Vice President & Chief Student Affairs Officer if pre-approved by University of Virginia Department of Recreation. If the alcohol permit is approved, security must be hired to manage alcohol service.
Police / Security Request
Certain events may require Crowd Management and/or Police/Security presence.
Requester is responsible for obtaining Police / Security if required by University of Virginia Department of Recreation.

Amplified Sound Permit
Amplified Sound Form must be completed for any outdoor event with amplified sound at the event.
Amplified Sound will only be approved for the following timeframes during the academic sessions: Friday: 6:00pm-10:00pm / Saturday & Sunday: 10:00am-10:00pm
Form must be completed and submitted to no later than 2-weeks prior to the date of the event.

Equipment Request Form
Advance requests for Outdoor Event Equipment can be submitted online to schedule equipment needs for large events (not for daily reservations) with pick-up & return dates in advance of your large event. All requests must be submitted at least 4 days and not more than 30 days in advance for review. Equipment is not guaranteed and is dependent upon availability. Outdoor Event Equipment must be picked up and returned at Memorial Gymnasium.

Renting Equipment from UVA Rec is governed by our Equipment Standard Operating Policy.
Youth Protection Registration
Certain programs/activities involving minors on and around Grounds are considered covered programs under the Protection of Minors and Reporting Abuse policy. This policy requires that sponsoring units of covered programs complete program registration, background checks, and training on recognizing and reporting suspected child abuse and neglect.
